1. Information We Collect
Account information: the email and password you use to create an account, and profile details you provide such as your name, commission state, commission and insurance dates.
Business data you enter: signing records, assignments, clients, invoices, mileage, and expenses. This is provided by you to run your business and stored under your account.
Signer and notarization records: when you log a notarial act, you may record information about the people you notarize for — such as their name, address, phone, and identification details — and, where you choose to capture them, a signature image and/or a photograph of an identity document. You provide this information to maintain your own notarial records, and we store it on your behalf. See “Sensitive Information” below.
Booking-page information: if you publish a public booking page, people who request a booking through it provide their contact and appointment details, and — where a deposit is taken — payment is processed by Stripe. We handle this information to deliver the booking to you.
Payment information: when you subscribe, payments are processed by our billing providers (RevenueCat and Stripe). We do not collect or store your full card number.
Technical & usage data: basic device and usage information, and advertising identifiers described in “Cookies, Analytics & Advertising,” needed to operate, secure, measure, and improve the service.
2. Sensitive Information
Some information you may record about your signers is sensitive — for example, an identity-document number or a photograph of an ID. NotaryPilot does not capture biometric identifiers such as fingerprints or thumbprints.
When you record signer information, you decide what to collect and remain responsible, as the notary, for handling it appropriately and obtaining any consent or disclosures your jurisdiction requires. NotaryPilot acts as a processor that stores this data on your behalf, under your account, accessible only to you. We do not use signer identity data for any purpose other than providing the service to you, and we do not sell it. Fields your state prohibits from being recorded are blocked in the app. You can delete individual records or request full deletion at any time.
3. How We Use Your Information
To provide the service — store your records, sync them to your account across your devices, and deliver features such as invoicing, mileage, and tax summaries; to process subscriptions; to send service-related and support communications; to measure and improve the service and our advertising; and to maintain security and comply with our legal obligations. We do not sell your personal information.
4. Cookies, Analytics & Advertising
Our website uses cookies and similar technologies, and stores small values in your browser’s local storage (for example, to keep you signed in). We use Google Tag Manager and Google Analytics to understand site usage, and Google Ads to measure the performance of our advertising — which may include storing an ad click identifier (such as a “gclid”) and campaign parameters so we can attribute a sign-up to the ad that led to it. Google may use cookies to provide these services; see Google’s privacy and advertising policies for details. You can control cookies through your browser settings.
5. How Your Data Is Stored & Secured
Your data is stored with our infrastructure provider (Supabase) and transmitted over encrypted connections (HTTPS/TLS). Access is scoped to your account through row-level security, so your records are only accessible by you. Uploaded images (such as ID photos and signatures) are kept in private storage available only to your account. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information.
6. Service Providers
We share limited information with providers who help us operate the service: Supabase (database, authentication, file storage, hosting), RevenueCat and Stripe (subscription billing and booking-deposit payments), Resend (sending transactional email such as invoices and reminders on your behalf), and Google (website analytics and advertising measurement). They process data on our behalf under their own privacy terms. We may disclose information if required by law or to protect the rights and safety of our users and the service.
7. Data Retention & Your Rights
We retain your data while your account is active. You can access and update your data in the app, and request a copy or deletion at any time by emailing support@notary-pilot.com. Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to opt out of certain processing; we honor these rights as required by applicable law and will not discriminate against you for exercising them. Some records may be retained where required for legal, tax, or security purposes.
8. Children’s Privacy
NotaryPilot is a professional tool intended for adults and is not directed to anyone under 18. We do not knowingly collect information from children.
